October 6, 2004 – MINUTES

Introductions

Members present – Coach Phipps, Coach Williams, Coach Moore, Dan & Joan Weinert, Trisha Van Bleisem, Jim & Debbie Wilmes, Peggy Jo Cudney, Larry Lenhart, David Meyers, Kay Westman, Teri Crawford, Dill & Patricia Rhodus, Kendall Hughes.

Coach Phipps spoke on why we needed a Cross Country Booster Club.  We are always getting hand-me downs because of limited resources.   A booster club would allow us to be able to have fundraisers to purchase items we are in need of.  We had two car washes that raised approximately $600.00.   A Wish List has been generated with the items that are needed by order of importance.  Uniforms are at the top of the list.  The uniforms have already been ordered.  There were 21 girl uniforms (kelly green shorts w/white trim) and 21 boy uniforms (white shorts with kelly green trim) with both shirts reading “Smithville Cross Country” ordered.  They are due to be in on the 12th , hopefully in time for the meet that day.  The kids are NOT to know about this.  This is to be a surprise! 

The rest of the Wish List reads as follows:

  • Warm-ups (the kind that don’t absorb moisture)

  • Gym sacks  (approx. $12 ea)

  • 5 gal. Water coolers (3-4) – Mrs. Van Bleisem & Coach Williams to donate one for the time being.

  • Team cooler (preferably on wheels)

  • 10’ x 10’ Tent (currently sharing one with the Track team) – would like it to be school colors w/logo, eventually getting a 2nd tent.

  • Electronic timing equipment

  • Megaphone (also one for practice)

  • Walkie-Talkies (these are good for larger meets)

  • Sm. Cones (for practice)

We did finally get a trophy case.  It was an old one but at least we have one now.  The old trophy is in need of a repair to the runner on the side.

Dan Weinert spoke on new business that needed taken care of.  It was decided by the members to table the By-laws until the November meeting.  Dill Rhodus said he would consult Steve Wolcott regarding the 5013C Statement (1028A form).  Nominations for officers would be done between now and next meeting via web site.  There was discussion on which night would be best for future meetings to be held on.  Wednesday nights currently leave out 3-4 for families because of church obligations.  The next meeting only will be held on a Monday night, Nov. 1 due to Coach Phipps previous obligations.  Future fundraising needs to be explored.  There was discussion on the Cross Country Awards Banquet.  Brownies & ice cream had been served in the past.  Kay Westman volunteered to organize a potluck dinner.  It is to be held at the Upper Elementary.

Coach Phipps spoke about the upcoming State meet.  It will be on Nov. 6.  The team will leave on Friday morning at 10 a.m. (there’s no school that day), they’ll stop for lunch and have a light 3 p.m. run on the course before getting settled for the night.  They will need snacks and drinks for the hotel room.
