October 2005 Minutes

 Meeting was called to order by President, Dan Weinert.

Review of minutes: After review motion was made to approve with exception of changing words (approved by authorities and school district) by Kay Westman.  Joan Weinert seconded motion.  All in favor?  All opposed?  Passed unanimous.

Treasury report: Joan Weinert presented Treasury report.  After review Dan Weinert suggested at our next home meet keep receipts from t-shirt sales and concessions be kept separate.  Motion to approve minutes was made by Kay Westman.  Kendall Hughes seconded motion.  All in favor?  All opposed?  Passed unanimous.

Coaches Comments: Coach Williams would like to order team warm-ups.  She had an estimate of $50.00 per warm-up.  This included no embroidery work.  Motion to purchase 30 warm-ups at $50.00 per warm-up with the CC parents having the option to purchase them for their student and the booster club paying for the balance was made by Kendall Hughes.  Kay Westman seconded motion.  All in favor?  All opposed?  Passed unanimous.

Vice-President Report: Kendall Hughes suggested that in hot weather meets the club might consider giving our runners water in cups.  They are more runner users friendly.  Also we might look at a more sophisticated watch that has a heart monitor for the runners.  This item normally runs around $150.00ea.

President’s Report: Fundraising.  Dan passed out list to be filled out by each runner listing 20 names to send donation letters to asking for donations.  This letter would include a picture of the runner and tell about our team and achievements.

The SmithvilleCrossCountry.com is an official sight now.

Bylaw issue regarding moving date to elect the officers Dan would like to table until a later date.

Dan expressed disappointment in media coverage from the local newspaper and how to take action on to get better coverage in the future.  This brought up a lot of discussion.  It was agreed that any letters sent to newspaper be presented in a positive matter.  Also Coach would watch for corrections that need to be made in any articles written and ask the newspaper to right a correction statement.  Coach Williams told the group the KC Star for possible interview regarding the Homecoming run for home had contacted her.

Some additional topics was brought up like starting middle school Cross Country and possibly hosting a larger meet next year to bring in more funds.
